# AI, VA or You? A 20-Task Audit for Business Owners

Peachtree VAPublished October 19, 20264 min read

The short answer

Give AI the repeatable, low-risk drafting and sorting tasks. Give a virtual assistant the work that needs judgment, follow-through and human contact. Keep for yourself the decisions, relationships and promises only you can make. This 20-task audit shows which bucket each common task fits.

## How do you decide between AI, a virtual assistant and yourself?

Use three tests: risk, clarity and relationship. Low-risk tasks with clear steps fit AI. Tasks that need judgment, follow-through or a human touch fit a virtual assistant. Decisions and promises made in your name stay with you. The audit below applies these tests to 20 tasks.

This is a planning aid based on the three tests, not a measured result. Adjust it for your business. For the full comparison, read [AI vs virtual assistant](https://peachtreeva.multisites.ai/ai-vs-virtual-assistant). The terms are simple: an [AI agent](https://peachtreeva.multisites.ai/glossary/ai-agent) acts on instructions without a person doing each step, and an [AI-augmented virtual assistant](https://peachtreeva.multisites.ai/glossary/ai-augmented-virtual-assistant) is a person who uses AI tools to work faster.

## What is the 20-task audit?

Here are 20 common tasks sorted by who is best placed to start them. “Best owner” means the first one to try. Many tasks use two: AI drafts, then a VA reviews and sends.

#

Task

Best owner

Why

1

Summarize a long document

AI

Low risk, clear steps

2

First draft of a routine email

AI, then VA

Needs a human check before sending

3

Transcribe a meeting

AI

Clear input and output

4

Research three vendors

AI, then VA

VA checks claims and prices

5

Schedule a meeting across calendars

VA

Needs judgment on priorities and people

6

Triage your inbox

VA

Context and tone matter

7

Book travel

VA

Preferences and rebooking take follow-through

8

Update the [CRM](https://peachtreeva.multisites.ai/glossary/crm) after calls

Needs follow-up and consistency

9

Chase late invoices

VA

A person builds a relationship, with your tone

10

Draft social posts

AI, then VA

VA edits to your voice and posts

11

Write a process document

VA

VA asks questions and tests the steps

12

Prepare slides for a pitch

VA

Design judgment and your review

13

Reconcile bank accounts

Bookkeeper

Accuracy and accountability, see [bookkeeping](https://peachtreeva.multisites.ai/bookkeeping)

14

Set a price for a new offer

You

Strategy and risk

15

Hire or fire someone

You

Judgment and responsibility

16

Handle an upset client

You

Relationship and trust

17

Approve a large payment

You

Money and authority

18

Choose business goals

You

Direction is your job

19

Negotiate a contract

You

Stakes and trade-offs

20

Decide what to stop doing

You

Only you know your priorities

Count your own results. In this list, the VA column is the largest, because those tasks repeat often and need follow-through.

## Why do so many tasks land with a virtual assistant?

Follow-through is the common thread. AI can produce a draft in seconds. It does not remember to send the second reminder, notice that a client went quiet or reschedule when plans change. A person owns the outcome.

That is the reason we describe our assistants as [AI-augmented](https://peachtreeva.multisites.ai/glossary/ai-augmented-virtual-assistant): people who use AI to work faster, not software that replaces the person. Method Matching pairs you on skill set, personality, culture and capacity. Matching is built through understanding, not an algorithm.

## What should you keep for yourself?

Keep the decisions, the relationships and the promises. These are the rows marked “You” in the table. Your [zone of genius](https://peachtreeva.multisites.ai/glossary/zone-of-genius) is where your time earns the most. Everything else is a candidate to hand off.

A simple rule: if a mistake would cost you a client, money you cannot recover or your reputation, a person with authority should decide. You can still hand over the preparation. A VA can gather the facts, draft options and book the meeting. You decide.

## How do you put the audit to work?

Run the audit on your own week in four steps. It takes about 30 minutes. Do it once, then review each quarter.

1. List every task you did last week. Aim for 20 or more.
2. Mark each task AI, VA or You using the three tests.
3. Start with the five tasks that take the most time and carry the least risk.
4. Write a short [standard operating procedure](https://peachtreeva.multisites.ai/glossary/standard-operating-procedure) for each task you hand off.

Prefer a guided version? Use the [delegation matrix](https://peachtreeva.multisites.ai/tools-and-resources/delegation-matrix) or the [VA matching quiz](https://peachtreeva.multisites.ai/tools-and-resources/va-matching-quiz). For more detail on what to hand over, read [what to delegate to a virtual assistant](https://peachtreeva.multisites.ai/guides/what-to-delegate-to-a-virtual-assistant) and our earlier post, [AI v.s. VA? What’s best for your business](https://peachtreeva.multisites.ai/ai-v-s-va-whats-best-for-your-business).

## What are the common mistakes when you sort tasks?

Three mistakes show up again and again. Each one is easy to avoid once you know it. Watch for them as you run the audit.

1. **Handing a risky task to AI without a check.** A draft can read well and still be wrong. Put a person in the loop for anything that carries money, legal or client risk.
2. **Keeping tasks you hate because they feel quick.** Ten minutes a day is almost an hour a week. Count the total, then decide.
3. **Handing over a task with no steps.** If you cannot explain it, an assistant cannot repeat it. Write the steps first, or let your assistant draft them as they learn the work.

Run the audit again in three months. Tasks move between columns as your tools and your business change. A task that needed you last quarter may be ready for your assistant now.

## Frequently asked questions

### Can AI replace a virtual assistant?

AI can draft, summarize, sort and search quickly. It does not own follow-through, read a relationship or take responsibility for a result. A virtual assistant covers those parts. Many owners use both: AI for first drafts, an assistant to check, send and follow up.

### Which tasks should I keep for myself?

Keep decisions about money, hiring, strategy and key relationships. Keep promises made in your name and anything that needs your judgment or voice. Delegate the preparation, scheduling and follow-up around those decisions.

### Does Peachtree VA use AI?

Peachtree VA describes its assistants as AI-augmented. They are still people, matched by people, not by an algorithm. Method Matching looks at skill set, personality, culture and capacity. Ask your Relationship Specialist how your assistant uses AI on your tasks.

### How do I decide for a task not on the list?

Ask three questions. Is the task low-risk if it is wrong? Are the steps clear? Does it need a human relationship? Low risk and clear steps point to AI. Judgment and follow-through point to a VA. Relationship and decision point to you.
